IntelliChat Chatbot POLICY

How we collect, use, and share information when you install and use the IntelliChat app.

IntelliChat Chatbot ("the App") provides an AI-powered customer support chatbot and merchant dashboard ("the Service") to merchants who use Shopify to power their stores. This Privacy Policy describes how personal information is collected, used, and shared when you install or use the App in connection with your Shopify-supported store.

Personal Information the App Collects

Information from Shopify

When you install the App, we are automatically able to access certain types of information from your Shopify account (via the Shopify Admin API), based on the access scopes you approve, including:

  • Shop information (for example: store name, primary domain / myshopify domain, and shop contact email used for onboarding).
  • Products (for example: product titles, handles/URLs, descriptions, tags, vendor/product type, and variant details like SKU and price) to let you add products as chatbot knowledge sources.
  • Online store content such as blogs/articles (for example: titles, handles/URLs, and content/body) to let you add blog posts as chatbot knowledge sources.
  • Shop legal policies (for example: policy title/type and body) to let you add policies as chatbot knowledge sources.
  • Themes and theme assets (for example: theme IDs and, if you choose a fallback publish method, your layout/theme.liquid content) to help you embed/publish the IntelliChat widget on your storefront.
  • App installation metafields (used to store an IntelliChat connection identifier like user_id / token for connecting your Shopify store to your IntelliChat account).
  • Orders (App requests order read access; if you enable features that require order context, we may access order data to provide the Service. If you don’t enable such features, we don’t use order data for the Service.)

We also store Shopify session information (including access tokens and, if available, user identity fields such as name/email) in our database to keep you authenticated and allow the App to function.

Information collected outside Shopify

Additionally, we collect the following types of personal information from you and/or your customers once you have installed the App:

  • Merchant IntelliChat account information: email address and authentication data (for example, login credentials managed through our authentication provider).
  • App configuration and settings you provide in the dashboard (for example: chatbot name, welcome message, color/theme/icon, widget alignment, branding preferences, GDPR notice preference, preset questions, support email, and live-chat/support settings).
  • Knowledge sources you select (for example: which products/blog posts/policies you add) and related processing status/metadata.
  • Customer support/ticketing data (if enabled): customer email address, message content, timestamps, and ticket status; and any replies/messages associated with a ticket.
  • Technical and usage data: log data from your use of the App (for example, IP address, browser type, and timestamps) and storefront/widget interaction events as needed to operate and secure the Service.

We collect personal information directly from the relevant individual, through your Shopify account, and using technologies such as cookies and similar tools used for session management and basic analytics. You can learn more about cookies and how to disable them at http://www.allaboutcookies.org.

How Do We Use Your Personal Information?

We use the personal information we collect from you and your customers to provide the Service and operate the App, including to:

  • Authenticate merchants and connect a Shopify store to an IntelliChat account.
  • Build and maintain your chatbot knowledge base from the sources you select (products, blogs, policies).
  • Embed and run the storefront chat widget (including via theme app embed or, if needed, by inserting the widget script into your theme).
  • Provide customer support features (tickets/live chat) when enabled.
  • Provide billing/subscription features and account status updates.
  • Monitor, troubleshoot, and secure the App, and improve performance and reliability.
  • Comply with applicable legal obligations and Shopify’s required compliance webhooks (for example, handling customer data requests/redaction and shop redaction when applicable).

Sharing Your Personal Information

We share personal information with third parties only as needed to provide and operate the Service, including:

  • Shopify, to authenticate your installation and access Shopify data you authorize.
  • IntelliChat services (for example, intellichat.io), including delivering the storefront widget script and processing requests related to your chatbot.
  • Infrastructure and database providers used to host the App and store data (for example, our hosting provider and database/auth provider).
  • Service providers who help us run the App (for example, logging/monitoring and performance analytics providers), limited to what they need to perform services for us.

We may also share information to comply with applicable laws and regulations, respond to lawful requests for information, or protect our rights. We do not sell merchants’ or customers’ personal information.

Data Retention

We retain personal information only for as long as necessary to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements.

  • Shopify session data is retained while needed for authentication and is removed when the App is uninstalled (and/or as otherwise required).
  • Chatbot configuration and knowledge sources are retained until you delete them, uninstall the App, or request deletion.
  • Support tickets/messages (if enabled) are retained while your account is active or as needed for support and recordkeeping; you can request deletion as described below.

Your Rights

If you are a resident of the EEA/UK (and in some other jurisdictions), you may have the right to access, correct, update, or delete personal information we hold about you. To exercise these rights, contact us using the information below.

Shopify may also send us mandatory compliance requests (for example, customer data requests/redaction and shop redaction). We respond to those requests as required. Your information may be processed and stored in countries other than your own, including the United States, where our service providers may operate.

Changes

We may update this privacy policy from time to time to reflect changes to our practices or for operational, legal, or regulatory reasons.
